– Estimate enrollment (based on previous year or Sunday School enrollment)
– Decide age/group divisions
– Decide budget
– Select and purchase curriculum, decorations and craft supplies
– Recruit leaders
– Select photographer/videographer
– Meet with leadership team anddistribute curriculum
2–3 months before VBS
– Publish a list of supplies church members can donate
– Make snack plans
– Order/make invitations, announcements, fliers, etc.
– Reserve transportation for children in community
– Recruit teachers/volunteers
– Reserve rental items (if needed)
2 months before VBS
– Address invitations
– Assign assistants and other helpers for teachers and leaders
– Schedule training meeting for staff
– Distribute specific duties/curriculum to each teacher
– Organize classrooms and rotation schedule
– Arrange end-of-week party/program
1 month before VBS
– Begin preregistration/distribute registration forms
– Mail out invitations
– Advertise in newspaper and with fliers
– Finalize details for photographer/videographer
– Meet with all staff
2 weeks before VBS
– Review rotation schedule and distribute copies to staff
– Confirm transportation for and pickup of children
– Confirm responsibilities of leaders and assistants
– Finalize all decorations and their placement
– Compose class rosters from preregistered children
The week of VBS
– Make sure all leaders are present
– Follow up with leaders each day to safeguard against problems
